Privacy Policy
Effective date: January 1, 2025
1. Who we are
LotForge is a dealer management system (DMS) operated by BuckZero LLC, a Florida limited liability company headquartered in Fort Lauderdale, Florida (collectively, "LotForge," "we," "us," or "our"). This Privacy Policy explains how we collect, use, share, and protect information when dealers and their staff use the LotForge platform, and when prospective customers visit lotforge.cloud.
2. Information we collect
We collect three categories of information:
- Dealer account information. Business name, address, point-of-contact name and email, phone number, dealer license details, payment information, and account configuration data.
- End-customer information processed on behalf of dealers. Names, addresses, phone numbers, email addresses, driver's license numbers, credit application data, trade-in details, and purchase history that dealers enter or receive through LotForge.
- Vehicle and operational data. VINs, photos, pricing, reconditioning costs, deal terms, lender submissions, and accounting entries created within the platform.
3. How we use information
We use information to:
- Operate, maintain, and secure the LotForge platform.
- Process dealer subscriptions and billing.
- Send transactional emails and SMS messages dealers initiate to their customers.
- Provide customer support and respond to inquiries.
- Improve the platform, diagnose problems, and develop new features.
- Comply with legal obligations, including DMV, IRS, and state dealer-licensing requirements.
4. Who we share information with
We share information only with service providers that help us run the platform, and only as needed to provide the service:
- Twilio — to deliver SMS messages dealers send through LotForge.
- Resend — to deliver transactional and notification emails.
- Supabase — to host the underlying database, authentication, and file storage.
- Stripe — to process subscription payments from dealers.
We do not sell personal information. We do not share end-customer information with third parties for their own marketing purposes. We may disclose information when required by law, subpoena, or to protect the rights, property, or safety of LotForge, our dealers, or the public.
5. End-customer data and dealer responsibility
When a dealer uses LotForge to manage information about their own customers, the dealer is the controller of that information and LotForge acts as a processor. Dealers are responsible for obtaining any consents required to text or email their customers and for providing their own privacy notices to those customers.
6. SMS Consent and Mobile Information
Mobile phone numbers and SMS opt-in consent data will not be sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. SMS consent information may only be shared with service providers such as messaging providers as necessary to deliver requested text messages. SMS consent is not required as a condition of purchasing a vehicle or submitting an inquiry.
7. Data retention and deletion
We retain dealer account information for as long as the account is active and for a reasonable period afterward to comply with tax, accounting, and dealer-recordkeeping requirements. End-customer information is retained according to the dealer's instructions and applicable law. A dealer can request deletion of their account and associated data by emailing devin@lotforge.cloud; we will respond within 30 days.
8. Security
We use industry-standard technical and organizational measures to protect information, including encryption in transit (TLS 1.2+), encryption at rest, role-based access controls, and audit logging. No system is perfectly secure, and we cannot guarantee absolute security.
9. Your choices
Dealers can update or correct account information from within the LotForge application. Recipients of marketing emails from LotForge can unsubscribe at any time using the link in the footer of those emails. Transactional emails (billing, account, and security notices) are required to operate the service and cannot be opted out of while the account is active.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of the page and, for material changes, notify dealers by email or through the LotForge application.
11. Governing law
This Privacy Policy is governed by the laws of the State of Florida, without regard to its conflict of laws principles.
12. Contact us
Questions about this Privacy Policy or our data practices can be sent to devin@lotforge.cloud or by mail to BuckZero LLC, Fort Lauderdale, Florida.
